Supplier Relationship Executive

We currently have an opportunity for a Supplier Relationship Executive to join our team in Aylesbury.

The position is hybrid position and the successful person undertaking the role will be responsible for a wide range of supply chain and invoice reconciliation activities. This role is a relationship focused position where you will be working with internal and external suppliers, has an account management focus and has fantastic development opportunities in terms of a potential stepping stone to a Business Improvement Manager position.

This role is focused on building up relationships and working with external suppliers to support our customers needs.

The Subcontract team are engaged with when we are unable to supply a customer with waste management support using our own fleet and services. From there the team will then work with external suppliers to provide solutions and liaise with various departments in Biffa to ensure a smooth service.

As part of this role you will work on all aspects of supplier negotiation, relationship management and invoice reconciliation.

This is a dynamic role for someone who enjoys a mix of relationship building, account management and administration.

Location: The Gate House, Gatehouse Way, Aylesbury, HP19 8DB

The role:

• Source suppliers and negotiate costs, as well as set up contracts and raise purchase orders
• Liaising with the Business Development Managers (field sales team) and Account Managers to ensure we meet the customers’ needs and requirements throughout mobilisation
• Manage supplier escalations from the Account Management and Customer Services teams, problem solving is key
• Assist the Commercial Manager with project work
• Accurate and timely payment of supplier invoices
• Work closely with Accounts Payable team to ensure that suppliers’ accounts run smoothly
• Perform other duties within the department as required

• Liaising with Customer Service teams, mobilisations team, Account Managers, Account Directors, Business Improvement Managers, Business Development Managerss, Depot Managers and Regional General Managers
• Ensuring appropriate levels of Net Earnings are achieved
• Reducing impact of loss making services
• Dealing with incoming emails and telephone calls
• Dealing with supplier account queries
• Speaking to customers

Nature and Scope of the role:

• This is an administrative and support role.
• You will be responsible for sourcing relevant suppliers to the subcontract team and negotiating rates and costs with regards to Third Party suppliers, following invoice reconciliation processes and procedures ensuring that invoices are accurately matched to purchase orders, and other related subcontract activities. Negotiation will be within agreed guidelines, any negotiations outside of the guidelines will need to be signed off by the Subcontracted Services Manager.
• This role is requires the you to possess personal skills such as relationship management, strong communication skills and have a strong sense of customer focus, as they will need to liaise with all levels of Customers, as well as internal stakeholders such as Depots/Customer Services and Account Managers.
• The job requires the ability to multi task situations that are live : requiring immediate attention and the ability to deliver a first class Customer Service.

About you:

• GCSE in Math and English
• Computer Literate (Microsoft office packages, email)
• A level
• Proven administration experience with a customer focussed attitude
• Strong knowledge of Excel
• Ability to work in partnership with customers, peer groups and other organisations including suppliers
• Robust and resilient, able to absorb pressure and respond positively
• Experience of building and maintaining customer and colleague relationships
• Ability to work to a high level of accuracy and have a keen eye for detail
• Possess strong written and oral communication skills
• Demonstrate a proactive and “can-do” attitude
• Possess strong computer skills and have a good working knowledge of MS Office
• Willingness to adapt and develop skill-sets and knowledge as determined by post / business
• Full current car driving licence (desirable)
