Job Description:

The main responsibility of the role is to provide the day to day administration of the department, supporting all aspects of the compliance function, including membership registration, member invoicing, raising orders, arranging collections, completing data reconciliation, data monitoring and ensuring compliance with all scheme processes.

Working with the compliance managers, scheme members and suppliers to ensure all information is up to date and recorded on our database. To ensure compliance with all QA procedures in line with job tasks, provide first line support to members and be a champion of Biffa compliance and company values.

Key Responsibilities:

• Responsible for member administration • • Member File Set Up (electronic and hard copy files)
• • Member Account Set Up
• • Verify member registration details
• • Receipt of all documents required for registration
• • Member communication regarding all registration and data returns


• To provide administrative support with financial accounting • • Raise and log purchase orders and resolve queries
• • Raise and log all Biffa Compliance invoices and resolve queries
• • Monitor and report the Bad Debt on a monthly basis


• Responsible for arranging WEEE & Battery Collections • • Generate and log quote
• • Arrange collections
• • Arrange payment to AATF
• • Invoice members
• • Reconcile evidence to the collections
• • Review of supplier cost v invoice to member


• Responsible for collating quarterly/annual returns • • Undertaking Pre-checks for packaging registration
• • Assisting with allocation member returns
• • Contacting DCFs, AATFs and Biffa Sites
• • Recording monthly/quarterly data return
• • Verify the returns made i.e. correct protocol used
• • Reconcile evidence
• • Approving evidence on the Settlement Centre in a timely manner
• • Ensure waste transfer notes are filed
• • Identify discrepancies and resolves in a timely manner


• Data Analysis • • Monitoring all WEEE costs and undertaken cost analysis
• • Monitoring WEEE data against EA requirements
• • Monitoring Evidence against Viable Plan
• • Monitoring EEE Obligation against EA requirements
• • Packaging Obligations year on year analysis


• Annual Supplier Review • • Obtain compliance document for each compliance year
• • Copy of site licences and operational documents



Experience:

• Strong Excel skills (vlookups, IF statements etc) and able to work with large data files
• Sound knowledge of other office applications.
• Experienced in financial reporting and providing detailed analysis
• Good report writing and presentation skills
• High level of numeracy and literacy
• Knowledge of basic Producer Responsibility Regulations over at least 2 years (Preferred)
• Ability to undertake supplier and customer meetings

Performance Measurement:

• Ensuring trending of data is undertaken when EA data is available
• Reconciling and accepting evidence in line with quarter target
• B2B WEEE collections quoted to maximise revenue generation
• All purchase orders are raised correctly and therefore reducing time reconciling orders
• All invoice are raised correctly and therefore reducing credits being raised
• Monthly Age Debt report to be sent in line with agreed targets
• Compliance with QA and Site Specific Instructions

The role is offered on an 18 month contract basis covering maternity, we pay a very competitive salary and excellent benefits.
